What size are the Depot rooms available for rental, and how many people do they accommodate?

The Billings Depot has two rooms available for rental. You can check out photos on the website. We frequently host wedding celebrations, but many other daytime and evening events are also held at the Depot. You may rent one of the rooms or the entire facility for daytime or evening events.

The Passenger Station

Offers a high arched ceiling and will seat about 125 persons for a reception or dinner.  It can accommodate approximately 150 persons if set up theatre-style – i.e., using chairs only.  (Dimensions 48’x 49’) An adjacent conference room (18’x26’) is included in the Passenger Station rental.

The Baggage Room

Is rated to seat 300 persons, but nicely accommodates groups of 150 – 300. (Dimensions 42’ x 90’).

Each room offers sufficient space for a DJ and a dance floor area.


What other events are scheduled at the Billings Depot?

Business or awards dinners, concerts, company “indoor” picnics, Christmas parties, wine-tasting, vendor displays, small trade shows, theatre performances, meetings, fashion shows, retirement dinners and anniversary receptions are some of the events scheduled at the Depot in addition to wedding celebrations. Community non-profit organizations frequently use the Depot for fundraisers, which include silent auctions with dinner and live auctions or entertainment.


Can I have both my wedding and reception at the Billings Depot?

Yes, couples frequently get married at the Depot, and follow the wedding with a reception. Depending on the number of guests expected, you may choose to get married in the Passenger Station (set up theatre-style) and follow with a reception in the Baggage room (set up with round tables/chairs). Or, you may get married and have the reception in the same room – though guests are usually seated at the round tables for a wedding and reception in the same room.


Do you provide tables and chairs?

Yes. We provide up to 15 rounds and 130 chairs for the Passenger Station. The Baggage Room rental includes 25 tables and 250 chairs. If both rooms are rented by the same client, all of the tables and chairs may be used. In addition to the rounds, we also provide banquet tables in varied length. Set up of the tables is included in the rental.
Occasionally, clients may need to rent a few more chairs and tables if their event will have more guests than what we have allocated, as long as the group size does not exceed what is recommended.


Do you provide table linens?

The Billings Depot does not provide table lines, dishes, glasses or flatware. Guests either rent those through caterers or local rental companies, or use paper or plastic linens and tableware.


How long can my event last?

The Depot rental covers the day of the event until midnight. Usually clients decorate the same day of the event. Clean-up must be done immediately after the event is finished.


What about serving food?

The client may hire the caterer of their choice to provide food for the event. Some clients choose to bring their own food. A convenience kitchen is available at no extra charge and we request that it be cleaned by the caterer after use.


Can we serve alcohol?

Alcohol served at the Billings Depot must be provided, set up and served by a licensed bar or a caterer with a liquor license. Guests may not bring their own alcohol into the Depot before, during or after an event. The bar  is responsible for clean-up of bar and removal of garbage immediately after the event.
If you choose to have alcohol served, the Depot provides a security guard and you are billed for the cost, plus a $50 bar fee.


What about decorations?

The client is responsible for decorating the rooms to compliment the event. The Depot provides guidelines for decorations.  You are welcome to check out the Depot photo album for decorating ideas used at some of the previous weddings.


What about clean-up after the event?

The client is responsible for removing decorations and other items they brought in immediately after the event is finished.


What about insurance?

Clients must provide proof of liability insurance for bodily injury and property damage in an amount of not less than $300,000 per occurrence. Billings Depot Inc. requests that a certificate of insurance be provided not later than 30 days prior to the event.


Does the Depot provide AV or sound equipment?

The Passenger Station has a sound system that will play CD’s or an MP3 player. A microphone is also available.
The Baggage Room offers a portable sound system for a $50 fee. It offers a single microphone on a stand.
Portable stage units and a projection screen are available for an additional rental fee.


What about parking?

Guest parking is available in the East Parking Lot on Saturday and Sunday. Street parking in the area is also available. The East lot is not available between 6 a.m. and 5 p.m. Monday through Friday.  A limited number of spaces are available in the West Lot in the spaces with Depot complex signs posted.


What about clean-up?

Immediately following the event, clients are required to remove decorations and other items they have brought into the Depot for their event, including food, gifts, AV or sound equipment, dishes, linens and serving equipment. Chairs are to be stacked. The bar hired to provide alcohol for the event must clean the bar area and empty bar garbage.  The kitchen is to be cleaned and garbage removed by caterer. The Depot maintenance staff takes care of the rest of the clean-up.


How far in advance do I need to make a reservation?

Depot business hours are 9 a.m. to 4 p.m. Monday through Friday and 8:30 a.m. to 12:30 p.m. on Saturdays. Clients will complete and sign a Facility Use Agreement and provide a down payment in order to complete the reservation.
